Can I try Lookeen 2024 before upgrading from Lookeen 12?
Yes, you can easily download, install, and try the full version of Lookeen 2024 for 14 days, free of charge. If you like Lookeen 2024, as a loyal customer of Lookeen, you’ll receive a 30% discount on the upgrade. If Lookeen 2024 does not meet your expectations, you can continue using Lookeen 12. What happens to my index if I upgrade from an older version (Lookeen 12 or earlier) to the new Lookeen 2024?
When upgrading to the latest version, Lookeen will create a new index.
I see there is an upgrade available: What do I need to do?
Simply download the new Lookeen 2024 version from our download section, and when purchasing the new license, take note of the following:
If you have a license key for version 12 or earlier: We offer a discount on the upgrade to Lookeen 2024 for our loyal customers. You need to verify your license key through our Upgrade Center. After verification, we will send you an email with a coupon code that guarantees you a 30% discount on the new version 2024 (version 14). You can enter this coupon code during the checkout process in our Lookeen Shop. The discounted price will be updated after you click “Update.”
I have an old version of Lookeen installed (12 or earlier). What do I need to do to install Lookeen 2024?
First, you need to uninstall the old version:
1. Close Outlook® and uninstall Lookeen via Control Panel > Programs and Features.
2. Delete the “Lookeen” folder in C:\Users\AppData\Local.
3. In C:\Program Files (for 32-bit systems) or C:\Program Files (x86) (for 64-bit systems), delete the “Axonic” folder if it still exists (or wherever Lookeen is installed).
4. Delete the “Add-in Express” folder in your “Documents” folder if it still exists.
5. Now download Lookeen 2024 and double-click the EXE file to install.
I recently purchased Lookeen 12. Do I have to buy the paid upgrade now?
If you purchased your license before July 1, 2024, you are entitled to a 30% discount on the upgrade. Use our Upgrade Center. If you purchased Lookeen 12 after July 1, 2024, please contact us.
What are my correct license name and key, and how do I find them?
These details are on your invoice, which you received by email from Share-IT / MyCommerce. Your license name and key are included in the email attachment named “key.htm,” which you can open with any internet browser. Just copy and paste the license name and key into the appropriate fields.
The Upgrade Center doesn’t accept my old license key and keeps showing the error “License key is incorrect.” What am I doing wrong?
This could be due to several reasons:
You might have mistyped or entered the wrong license information or included an extra space. It’s essential to enter both the license name and key correctly.
If the issue persists, please contact our Customer Service, who will help you find the correct license key.
I received an email after verifying in the Upgrade Center with a coupon code. What do I do with it?
If you have a license key for Lookeen 12 (or earlier), the coupon code will give you a 30% discount on your upgrade. Enter the code under “Your Coupon Code” in our shop after selecting your edition and payment method, then click “Update.” The shop will automatically recalculate the discounted price.
I can’t see the upgrade cost. How do I find out the price?
If you have a license key for version 12 or earlier, you will receive a 30% discount regardless of the edition you choose or the currency you pay in. To get the price, simply request a discount coupon from our Upgrade Center, enter the coupon code in our shop, and click “Update.” The shop will automatically calculate the new price.
Can I still purchase a license key for version 12 even though Lookeen 2024 is available?
Yes, please contact us if you wish to purchase a license for version 12.
Will there be further updates for Lookeen 12 even after Lookeen 2024 is released?
Currently, no further updates are planned for version 12. Lookeen 12 has been fine-tuned through numerous updates. You can find the version history here.
I get a notification to upgrade every time I start Lookeen. Can I turn this off?
Yes, you have two options:
1. In the popup that notifies you about the upgrade, there is an option to check “Do not show this message again.”
2. If the first option doesn’t work, you can go to the Lookeen options tab under “System” and uncheck “Automatically check for updates at startup.” This will stop the upgrade notification from appearing.
I didn’t buy Lookeen 12 online through the webshop but directly from Axonic GmbH. How can I get an upgrade offer?

Can I read the user manual on my phone or tablet? Is there a PDF version of the help guide?

How can I become a Lookeen reseller, or is there an affiliate program?
We would be happy for you to offer Lookeen to your customers. To become a reseller or for questions about partnerships, please contact us.
We want to roll out Lookeen across multiple workstations in our company. Is it possible to distribute Lookeen via Group Policies?
Yes, Lookeen can be deployed company-wide by system administrators using Group Policies (GPO). We have our own GPO guidelines available, which we would be happy to provide. Detailed information can also be found in our GPO guide for Lookeen 2024.
Do I need to back up my Lookeen index when updating or installing a new version?
No, a backup is not necessary. If, for example, you reinstall your system, you can quickly recreate the index. However, if you wish to back up your index files, follow these steps: Open an Explorer window, click on Tools > Folder Options > View tab > In the “Advanced Settings” window, enable the “Show hidden files and folders” option. Then go to: C:\Users[YOUR PROFILE NAME]\AppData\Local\Lookeen[YOUR OUTLOOK PROFILE] and back up the “Index” folder. You can reintegrate it at the same location if needed.
I’ve heard of a Lookeen Server. Why would I need it?
The Lookeen Server is mainly intended for companies that want centrally stored indexes for mailboxes, public folders, and the file system. The software is installed on a Windows server, where the company data is indexed and stored. User access is managed via Windows user permissions (Active Directory) and through the Lookeen Desktop version. For more information on Lookeen Server, please contact us.
Why is the regular Windows or Outlook search not enough?
Search queries in Windows and Outlook® can be time-consuming. It may take minutes to search all records, and the display of search results can be insufficient when you are looking for a “needle in a haystack.” This wastes time and makes finding the desired result difficult.
Do you offer product support for Lookeen?
Yes, our support team can be reached 24 hours a day via the support form. It’s often helpful for our support team if you include an up-to-date log file from your Lookeen system. In Lookeen, go to “Settings > Help” and send us a report from there. Please describe the problem in detail in the email. Screenshots are also helpful for identifying the issue. Don’t forget to mention how we can reproduce the problem.

Can I search an Exchange Server or O365 with Lookeen?

When using Lookeen with Exchange, does it work with public folders?
Yes, public folders are supported.
I use multiple email profiles in Outlook, does Lookeen support this?
Lookeen supports multiple email profiles.
Is Lookeen compatible with other Outlook add-ins?
Currently, we are not aware of any incompatibilities with other Outlook® add-ins. If issues arise, please contact our Customer Service.
Does Lookeen work with Citrix and terminal servers?
Yes, Lookeen works seamlessly with Citrix® or terminal servers.
Technical Details
Can Lookeen index image files or PDF scans?
Yes. Image files (e.g., .jpg or .bmp) or PDF scans are indexed by their name, and thanks to OCR, the text within images and PDFs is also recognized.
I want to install the Lookeen Desktop Search on a terminal server. Do I need a license per installation or per user?
The Lookeen licensing model is a “named user” model, meaning that you need a license for each employee who uses Lookeen Desktop Search through the terminal server. However, the number of installations for a licensed employee is unlimited, allowing them to use Lookeen on multiple terminals.
We work with an Exchange server. Which modes of Exchange server is Lookeen compatible with?
Lookeen supports all modes and network statuses of Exchange® Server, including cached and non-cached mode. You can find more information in our GPO guide. With special GPO commands, you can configure behavior in individual modes.
Does Lookeen support Roaming User Profiles?
Yes, Lookeen supports Roaming User Profiles.
Where are the data and files generated by Lookeen stored?
They are stored in the local application directory: C:\Users[YOUR PROFILE NAME]\AppData\Local\Lookeen.
Does Lookeen store my emails or files in a separate directory?
No, Lookeen does not store emails or files separately, neither on the internet nor on a server.
Is there a maximum archive size that Lookeen can index?
The Lookeen index has no limit and can even index archives containing terabytes of data.
Does Lookeen transmit any data to a server?
To verify the authenticity of your Lookeen license, your license information is sent to our licensing server. However, no other personal data, emails, email content, files, or other analysis data is transmitted. If you wish to operate Lookeen completely offline/air-gapped from the internet, please contact us.

Do you need an MSI file for your installation?
You can download an MSI file for your installation here.
Can I select specific users for a company-wide installation of Lookeen?
The Lookeen Business and Premium Editions allow you to disable Lookeen via Group Policies (GPO). By applying these GPOs, you can prevent certain users or groups from using Lookeen or limit its use to specific users or groups.
What should I do if I lose my license key?
Please contact our sales partner, Share-IT / MyCommerce, and log in to the “MyAccount” area using your password. Your key will be stored there. Alternatively, you can write an email directly to processing@shareit.com or contact our Customer Care Center to request your key.
How do I find out which version of Lookeen I have?
Go to the settings in Lookeen (gear icon). The version number is displayed at the top left corner.
If I switch to another Windows operating system or MS Office version, do I lose my Lookeen license?
No, just reinstall Lookeen and re-enter your license key. If your license is blocked due to multiple uses, please contact us.
What are the available payment methods when purchasing Lookeen?
Through our sales partner, you can pay with credit cards, bank transfer, check, cash, or on invoice (for corporate customers). The shop accepts Visa, MasterCard, American Express, JCB, Discover, Diners Club, Solo, and Switch/Maestro (issued in the UK).
How do I cleanly uninstall Lookeen 12?
1. Please close Lookeen and, if applicable, Outlook®. Uninstall Lookeen via Control Panel > Programs and Features.
2. Delete the “Lookeen” folder in C:\Users[YOUR PROFILE NAME]\AppData\Local (you may need to enable “Show hidden files and folders” in Windows Explorer’s folder options).
3. Delete the “Axonic” folder in C:\Program Files or C:\Program Files (x86). If still present, delete the “Add-in Express” folder under “Documents.”
I purchased a Lookeen license in your shop. What happens now, and where do I enter my key?
You will receive an email with a license key. Enter the key under Settings > License > License Key. After confirming, Lookeen will be fully functional for you.
How much does Lookeen cost, and how long can I use it?
You can find pricing information in our shop. We offer special volume licenses for businesses-just contact us. In addition to standard 1-year licenses, we offer 3- or 5-year licenses with further discounts for longer terms.
What happens after the 14-day trial?
You have the option to purchase Lookeen by following the instructions on our purchase page. If you choose not to, simply uninstall Lookeen from your computer.
What is a trial version?
You can use and test Lookeen for free for 14 days-we are confident in the quality of our product and give you the opportunity to fully explore all of Lookeen’s features. After the trial, you can choose to buy Lookeen or uninstall it.
Can I create a log file during installation to verify that Lookeen was installed correctly?
Yes, this can be specified as a parameter during unattended or silent installations.
I have questions about payment, purchase, my license key, or other issues related to Lookeen 12. Who should I contact?

When I import the ADM file, the corresponding entries are not added in the Windows Group Policy Editor. What might be the issue?
Within your Group Policy Editor, right-click on “Administrative Templates” and select “Filtering…”. In the dialog box, uncheck “Only show policy settings that can be fully managed.” You should then be able to see the entries. More information is available in our GPO guide.
How do I know if Lookeen was installed correctly?
After installation, Lookeen’s setup program will open upon first launch. You’ll need to run through this once to configure Lookeen. After that, you can enjoy all the features of Lookeen Desktop Search and the Outlook® add-in.

Setup & Use
I work on two workstations and use Lookeen on both. Do I need a second license?
All information on this topic can be found in our EULA.
Can I schedule Lookeen to index at a specific time?
Yes, in the Lookeen settings (gear icon), under the “Index” tab, you can specify the time when indexing should take place. If you need full system resources at certain times, you can also set intervals when indexing should be paused.
Can I save search queries that I use frequently?
Yes, enter your desired search parameters and run the desktop search. Then, in the search bar, click on the heart symbol to save the search as a favorite.
Can I close Outlook while Lookeen is indexing my emails?
Yes, Lookeen will continue indexing from where it left off the next time the index service is started-already indexed items will not be lost.
Can I search for a term within a specific time range?
Yes, please refer to our help guide. In the “Search Query Syntax” chapter, you will find all the useful tips and tricks.
Can I perform partial searches with Lookeen, such as searching for only part of a word?
Yes, Lookeen supports wildcard searches using the “” and “?” characters. “” represents any number of characters, while “?” stands for a single character. The “Search Query Syntax” chapter has more tips and tricks.
Can I preview search results?
Lookeen has a built-in preview pane. With multi-color highlighting, different search terms are highlighted in different colors within the preview.
What do I need to do when using Lookeen for the first time?
After installation, start Lookeen, and you will be prompted to go through the “Lookeen Wizard.” After making a few settings, Lookeen will be configured and start indexing your local files, network drive files, Outlook® archives, O365, and PST files based on your configuration.
Can I disable Lookeen in Outlook without uninstalling it?
Yes.
Outlook® 2007: Go to “Tools” > “Trust Center” > “Add-Ins” > “Manage: COM Add-Ins” and uncheck Lookeen. This is also how you can re-enable it.
Outlook® 2010, 2013, 2016, and Office 365: Go to “File” > “Options” > “Add-Ins” > “Manage: COM Add-Ins” and uncheck Lookeen. This is also how you can re-enable it.
In which languages is Lookeen Desktop Search available?
Lookeen is available in English and German. The language is set according to your system’s language settings, but you can also manually change the language via Settings > Language.
Is there a way to get a special offer for volume licenses?

If I add a new Outlook archive, do I need to manually add it to Lookeen?
In the “Index” tab under “Settings,” you can manually add Outlook® archives via the “Add PST/OST” button, or you can use the automatic search feature to update it.
What is the “Shared Index” (External Index Sources), how does it work, and why would I need it?
If you have archived multiple PST files over the years, these archives may rarely change, but you still need information from them occasionally. Or you have information from a source that needs to be distributed to multiple users. The external index feature allows Lookeen to centralize the indexing of your data. This index can then be shared with any number of users, enabling them to search the index and open the included items without having to re-add the archives to Outlook®.
How do I configure the Shared Index?
1. Create a new Outlook® profile.
2. Start Outlook® with this new profile-this will be your “Shared Index” profile.
3. Add the archives and local paths that you want to index and that rarely change. These could be archives from past years, fixed file structures, or the “old stuff.” Please note: Local paths must be added as UNC paths. When selecting the folder, don’t use “My Computer,” but rather “Network” to choose the folder.
4. Go to Lookeen’s options and add the corresponding elements.
5. In the “Index Details” tab, you can see where the index is stored. Please note the path.
6. Index the data once using this profile.
7. Close the Shared Index profile and start Outlook® with your standard profile.
8. Now go to Lookeen’s options, and in the “Index” tab, click on “Add New Archive” > “External Index Source” and simply add the path you previously noted.
9. From now on, you can search both indexes. You can open all elements indexed in your Shared Index profile without needing to re-add the archives to Outlook®.
Important Security Notice: In the index of a Lookeen Desktop version (Basic, Business, and Premium Edition), Active Directory access rights or other permission structures are not stored. If a user adds an external index source, they can search this data without restriction. This means that if the user who created the external index has more permissions than the user who adds the index, the latter may gain access to data for which they do not have rights. Please be mindful of who you provide external index sources to and where you store the index path. If you need an index that saves your Windows access rights with each indexed item, Lookeen Server may be the right product for you. Contact us at sales@lookeen.de for more information.
Known Issues
The automatic update function isn’t working properly-I can’t install the new version.
Please uninstall the old Lookeen version and download the latest version here.
Tips & Tricks
Some of our networks are very slow. If Lookeen indexes these networks, it takes a long time. Can I exclude certain network sources?
Yes. Go to the options, open the “System” tab, and activate network detection. Then, add the desired networks to the “Blacklist.” If one of these network sources is active, Lookeen will warn you before starting an automatic index.
I’ve specified an external index source, but Lookeen isn’t finding the contents of the external index source. Why?
This is usually due to the index source not being linked as a UNC path. When selecting your external index source, do not specify the index source via the local path (My Computer) but rather through the network (Network Neighborhood).
Important Security Notice: In the index of a Lookeen Desktop version (Basic, Business, and Premium Edition), no Active Directory access rights or other permission structures are stored. If a user adds an external index source, they can search this data without restriction. This means that if the user who created the external index has more rights than the user adding the index, the latter may gain access to data through the external index that they do not have permission to view. Therefore, please be mindful of whom you provide external index sources to and the storage location you select for the index path.

Can I create multiple Shared Indexes for different user groups?
Yes. You can create multiple Shared Indexes and assign them to different users or user groups by granting Windows permissions accordingly.
